Costs and Reimbursements

We have limited funding to support this conference from a research conference grant from the National Institute on Aging (R13AG030995). We prioritize this funding to cover expenses of pre- and post-doctoral trainees who do not have grant funding and wouldn’t be able to attend without support. We will be able to provide support to individuals at more advanced career levels, but we will not be able to provide support for all who we invite to attend.


The primary expenses for attending this conference are travel to Granlibakken Conference Center and Granlibakken expenses that cover lodging, meals, and use of conference facilities. There will be a conference registration fee of $100 for graduate students and postdoctoral trainees and $200 for all others.


Granlibakken Expenses

The Granlibakken Conference Center has an all inclusive package that includes lodging and all meals. For the 2024 conference, the rate will be $291.50 per day for double occupancy in standard rooms ($1457.50 for 5 nights, 8/11-8/13), $391.54 per day for single occupancy ($1957.70 for 5 nights). Standard rooms are hotel style rooms with two beds and a bathroom. Deluxe rooms will be available at a rate of $316.62 per day for double occupancy ($1583.10 for 5 nights), $436.63 per day for single occupancy ($2183.15 for 5 nights). Rates include lodging, meals, taxes, and service. We will use conference grant funds to pay standard room double occupancy expenses for many conference participants. Those requesting single occupancy or deluxe accommodations will be responsible for paying additional charges above the standard room double occupancy rate. If you have been invited to attend the 2024 conference, please refer to the invitation email to see if we have offered to pay your lodging, meals, and Granlibakken conference expenses.

Airfare Reimbursement

The Granlibakken Conference Center can be accessed from Reno International Airport. We will pay for airfare for many attendees. For 2024, we will pay up to $900 for those residing in the Eastern time zone or coming from overseas, $800 Central time zone, $700 Mountain time zone, $600 Pacific time zone. For invited experts we will pay full costs, but ask prior approval for airfare exceeding $1000. If we are paying for your airfare, please arrange and pay for your own flight, and we will reimburse you after the conference. Coach class flights are required.

Ground Transportation and Travel Arrangements

We will provide group transportation to and from the Reno airport and Granlibakken on August 11 and August 16. Attendees arriving after August 11 and leaving before August 16 will have to make their own ground transportation arrangements at their own cost. We will not be able to reimburse for private transportation, taxis, limos, or shuttle buses. We also will not be able to reimburse for expenses like meals and lodging involved in traveling to and from the conference. Those paying their own transportation costs should make their own travel arrangements.

International Attendees

This conference is open to non-US citizens and international attendees. There are funding restrictions for reimbursement of airfare costs. Reimbursement for international airfare is limited to $900. NIH policy requires that international travelers use US flagged carriers unless suitable routes are not available. International attendees can receive financial support for lodging, meals, and use of conference facilities.


Family and Guests

The Granlibakken facility can accommodate family members and guests. There is a charge of $148 per person per day for family members/guests staying in the same room as a conference participant. There is no charge for children under the age of 8. This cost includes meals, tax, and service. The conference participant is charged at the single occupancy rate. You will be responsible for paying the $148 per day for meals and lodging for your guest, and your lodging will be treated as single occupancy with respect to costs and reimbursement. You also will be responsible for travel costs for your family or guests, but we can provide ground transportation between Granlibakken and the Reno airport for family and guests on August 11 and August 16.


Dependent Care

We offer a scholarship program to help defer costs for dependent care that might be a barrier to conference attendance for early career individuals. We will provide $500 to those who receive scholarships for expenses like child care at home while the participant is at the conference, or travel and lodging for a care provider and child to come to the conference.

Application and Invitations

This conference will include invited experts and applicants who were selected from the competitive application process. We will formally invite all who have been selected to attend after completion of the application review (by April 2, 2024). This invitation will show the expenses that we will pay and those that are the responsibility of the conference participant.
